An Inbound Order comes to you with a manifest generated by the sending party. The steps for intake are the same whether the inventory is brand new for selling or processing, or is previously sold inventory that is being returned to you as damaged, expired, or unsold product returns.
Note: Sometimes the inbound order contains Returns. This is different from Partial Returns, which can happen if you deliver an order of your own products but the vendor does not accept everything. See this article for processing partial returns or rejections.
Open the Pending Inbound Transfer
1. Head to Orders > Inbound Orders
2. Click Receive Pending GF Transfer
Tip! The number in yellow will tell you how many transfers you have pending from GrowFlow customers
3. Locate the inbound manifest ID and click Show
4. A window will open showing the inbound transfer details and editable fields described in the next section
Review & Edit the Inbound Transfer
A. Traceability Type: This shows the type transferred. If this is wrong, you can click to select the correct type from the drop-down. Save your selection by clicking the blue checkmark.
B. External ID: Inventory ID from the sender's account. This field is editable if necessary.
C. QA Result: If the item had a test result attached, the last several characters of the sample ID will show here. This field is editable if necessary.
D. External Product: Product name and unit size from the sender's account
E. Strain: Strain name transferred by the sender. Edit the strain by deleting the entered name and typing to search for the one you want. Not required for edibles.
F. Assign Product or Template
GrowFlow will default to show the first template, in alphanumerical order, found in your account that matches the traceability type & unit size for the item transferred.
If the default template is not correct, click and scroll to select either the appropriate template or the correct strain-specific product from the drop-down list
If you don't find the template or product to use, click Create New Product Template. You'll be taken to the window for creating a new template. After creating the template, you'll be returned to the Receive Manifest window and the new template will be entered in the product field. G. Receiving: The transferred quantity of grams or units. If you re-weigh or re-count and find fewer than the quantity transferred, you can edit this quantity. Editing the quantity will automatically edit the Total price unless you overwrite the Total.
H. Reject: If you did not receive an item or do not want to accept it, click the Reject button
You can undo the rejection before finishing the import by clicking the yellow Undo button in the Reject column
I. Return: Check the Return box if the sender is returning the item to you. This allows GrowFlow to track refunds. See the notes about returns.
If all the items in the transfer are returns, check the box atop the Returns column to select all
J. Total: Total price for the item as transferred, being the quantity times the unit price. This field is editable if necessary.
K. Room: The default room is Bulk Inventory, but you can select any other Inventory Room to move the inbound items into
L. Import: Finishg by clicking Import # Line-Items. If you have other pending transfers, you'll be taken back to that list to work on the next one; otherwise, you'll be taken to Orders > Inbound Orders.
View or Edit Accepted Inbound Orders
Via Orders > Inbound Orders, click on a Manifest ID to view or edit an accepted Inbound Order.
A. Invoice tab: Presents the Inbound Order details, as well as the features C-E detailed below
B. QA tab: Presents the details of any lab results transferred with the accepted items
QA Options:
Open PDF: Opens the COA PDF Preview, if the COA was provided in the transfer or if one was attached at a later time
✖ Cert: Delete the attached COA
↑Cert: Upload a COA
C. To ID#: The ID assigned to the accepted inventory once accepted into your account
D. Options > Edit: Edit the Received quantity, the Total price, or Return status. Click save when the edits are complete, or cancel to exit the editing options.
E. Print: Print labels for your new items from this page
F. Click View On Inventory to see only the items from this transfer as they appear on the Inventory Overview
G. Export a list of the transfer's items as a .CSV
H. Print: Print this view of the transfer as an invoice for the Inbound Transfer

Notes About Returns:
GrowFlow tracks the value of returned items via Dashboard > Refunds.
Totals for items marked as returns reduce your gross sales for monthly tax reporting. See the Dashboard > Taxes report.
As a reference for estimating the prices for any returns from a retailer, you can use the Dashboard > Sales By Product report.
The Sales by Product report shows the average price for each product sold for the selected products, vendor, and date range.
Cash credits are outside of state traceability, but credits can be given on future orders when the sender of returns does not collect cash at the time of the return.
On an Order's invoice, "Return Value" is the name of the field where you enter the amount of the cash credit.
