How to add new Customers to your GrowFlow Retail account

Keeping track of your customers is important — GrowFlow retail makes it easy to create profiles for each customer/patient to easily track purchase history, enforce purchase limits, accrue loyalty points, and more.

This short article will review how to add Customer profiles in GrowFlow Retail.

If your state is Recreational, you can also check out customers as Anonymous customers. Anonymous customer profiles lose the ability to track rewards.

Customer profiles are broken up into several sections. Use the links below to jump to a specific section:


Create a Customer Profile

To add a new Customer profile:

1. Click on Customers.

2. Click the green "+" button in the top-right corner of the screen.

3. The Add New Customer modal will pop up. This is where you will enter details about your customer. Any fields that are marked with a red asterisk are required and must be filled out before saving the Customer profile.

1. Set a Customer profile to Inactive by setting the Active toggle to the off position. Inactive profiles will still be saved in your account, but new orders can not be created from them.

2. If you are using a 2D-capable scanner, you can click the Scan ID button and then scan the customer's state ID or driver's license to automatically populate some of the fields under Basic Info (name, DOB, license number, and expiry date).

3. If you have a Medical/Recreational store, you will have the option to designate the customer as Medical or Recreational. If your store is only Medical or only Recreational, you will not have to select a designation.


Basic Info

4. In the Name field, enter the customer's first and last name. This is a required field.

5. Select the customer's Date of Birth.

6. Make a selection indicating the Sex of the customer: Male, Female, or Other.

7. In the Drivers License Number field, enter the customer's valid state ID or driver’s license number.

8. Select the customer's Drivers License Expiration Date from the calendar.

9. In the Email field, add the customer’s email address.

10. In the Phone Number field, add the customer’s phone number.

11. Tags can be applied to customer profiles to help with discount targeting and data filtering. For more information on Tags, please review this article.

12. Add any Notes about the customer here. For example, their strain preference or favorite products.

13. If you are tracking referrals, select an option from the Referred By menu drop-down: Another Customer, Web Site, Social Media, or Other. If the referral is from another customer, please select the referring customer from the drop-down menu.


Consent

14. Enable this setting if the customer has provided consent to receive Email.

15. Enable this setting if the customer has provided consent to receive SMS (text messaging).


Status

Enable a pre-made customer Status to quickly designate customers as Veterans, Seniors, Residents, and Students. You can also designate customers as Tax Exempt and Employees. These are all optional but can help when setting up taxes or targeting discounts.

16. Resident - Enable this setting to indicate the customer is a Resident.

17. Veteran - Enable this setting to indicate the customer is a Veteran.

18. Senior - Enable this setting to indicate the customer is a Senior.

19. Disabled - Enable this setting to indicate the customer is Disabled.

20. Tax Exempt - Enable this setting to indicate the customer is exempt from receiving taxes on their purchase. To learn more about creating tax exemptions, please review this article.

21. Employee - Enable this setting to indicate this customer is also an Employee. Note: An employee's Customer profile is separate from an employee's User profile.

22. Student - Enable this setting to indicate the customer is a Student.


Medical Info

This section will only be visible on Medical Customer profiles.

23. Enter the customer's Medical License Number in this field. This is a required field for Medical customers.

24. Select the Medical License Issued date from the calendar.

25. Select the Medical License Expiration date from the calendar.

26. If required, you can indicate the customer's condition for carrying a medical card.

27. If required, you can indicate the customer's administering physician.

28. Enable this setting to indicate the customer is using a caregiver.

29. Enable this setting to indicate that the customer is a caregiver.


Documents

In the documents section, you can add any additional images (PNG or JPG) or documents (PDF) to the customer profile.
