Accurately Create Solid Edibles in GrowFlow Wholesale for Compliant Retail Sales to Consumers in New Mexico

Due to a bug in BioTrack's system, this article guides you through the updated process of creating Solid Edible products in GrowFlow Wholesale for the New Mexico market. Follow these steps to ensure accurate purchase limits for retail sales.

Create New Solid Edible Products

To ensure accurate THC content and comply with recreational purchase limits, GrowFlow now includes a Unit THC Content field when creating Solid Edible products and product templates. Simply enter the THC content per unit, and GrowFlow will handle the calculations in the background.

Note: You can only create one product with one size at a time. If you need to make multiple sizes of the same product with different Unit THC Content, you must create each size individually.

However, if the Unit THC Content is the same for all sizes, you can use the Add Size function to create multiple sizes at once.

1. Go to Admin > Products > Product Catalog and click ➕Product Creator
OR go to Admin > Products > Templates and click ➕Add New Templates

2. Select Solid Edible as the Traceability Type

3. Enter a Product Name:

  • Include the product's expected THC content per unit or serving in the product name (best practices for edibles regardless of the BioTrack bug)

  • Example: "Mints - 20x5mg" (100mg total).

4. Enter Unit THC Content

  • Enter the expected THC content per unit in milligrams (mg).

  • Important: This field is required and must be in milligrams for GrowFlow to accurately calculate the recreational usable limit.

  • Example: "100mg".

5. Under Weight / Price, for Unit, choose grams and for Size use the Net Weight of the unit.

  • Example: "12 grams".

6. Fill in the remaining product details as needed, including:

  • Category

  • Brand, Attributes

  • Default label and/or Recipe

  • Price

  • Notes

7. Click Create Product Template

Edit Existing Solid Edible Products

To ensure accurate recreational usable weight calculations for your existing Solid Edible products, you'll need to edit them to add the Unit THC Content. Moving forward, always make sure your Solid Edible products have the Unit THC Content defined before converting them.

1. Go to Admin > Products > Product Catalog
OR go to Admin > Products > Templates

2. Filter by Type > Solid Edible

3. Select each product that has the same Unit THC Content and click Edit

Note: You can only enter one Unit THC Content at a time. If the THC content differs per product, you will need to edit each product individually.

4. Under Additional Fields, enter the Unit THC Content

5. Select milligrams as the unit of measure

6. Click Modify

Convert Solid Edibles

1. On the Inventory Overview, click Package

2. Select Pre-Packaged Items

3. Under "What are we making?", select Edible (Solid)

4. Under “What kind?”, select the applicable product or template

5. If using a template, select the strain

6. Confirm that the product's unit size and THC content displayed are the expected values

7. Locate the parent inventory and enter the amount to use

8. Enter the number of units produced in the conversion

9. Enter waste weight and production batch name (if applicable) and select a room

10. Click Preview Convert

11. Review the conversion details and click Confirm

Confirm the Recreational Purchase Limit

To help you verify the accuracy of your solid edibles, we've added a new column to the Inventory Overview called Rec Usable Limit. This column displays the calculated recreational usable weight for each package, allowing you to confirm it meets regulatory limits after converting Solid Edibles and before transferring them to retailers.

New Mexico Purchase Limits

  • Recreational:

    • Edibles: 800 milligrams total

      • Serving Limit: 10mg THC per serving

      • Package Limit: 100mg THC per package

  • Medical:

    • Edibles: 50mg THC per serving (no limit on servings per container)

1. Add the Rec Usable Limit column to the Inventory Overview:

  • Click the downward caret in the Actions area

  • Search for "Usable Rec Limit" and select it

  • Click Apply

2. After converting Solid Edibles, confirm the Rec Usable Limit value in this column before transferring to retailers.

Correcting Existing Solid Edible Inventory

Existing Solid Edible inventory that was created before this release and may be inaccurately affected by the BioTrack bug and will need to be re-converted using a product with the Unit THC Content defined.

Locate any Solid Edible inventory with a Rec Usable Limit value that exceeds the allowed recreational purchase limits. These are the items that will need to be re-converted.

To re-convert affected inventory, you have two options for returning it to the parent product:

Undo Inventory

1. If the affected inventory item has not been sold from or modified, you can use Edit > Undo to reverse the conversion. This automatically returns the weight to the original Parent ID.

2. After undoing the conversion, follow the steps in the Convert Solid Edibles section of this article to re-convert the inventory using a product with the Unit THC Content defined.

Adjust Inventory

1. If the affected inventory item has been sold from or modified, you will need to use Edit > Adjust to reverse the conversion and return the weight to the original Parent.

2. In the Adjust Inventory window:

  • Select the parent item, in addition to the selected child item

  • Enter "0" as the New Qty for the Child Item. This automatically returns the quantity to the parent.

  • Select an adjustment reason and enter an explanation

  • Confirm the adjust details and click Confirm

3. After the adjustment, follow the steps in the Convert Solid Edibles section of this article to re-convert the inventory using a product with the Unit THC Content defined.
