How to invite new users to your GrowFlow Wholesale account and set up user access and permissions

Having separate user logins allows you to set specific access permissions depending on the user, such as Sales permissions for sales personnel. With individual users, GrowFlow will also track user actions by user name within your account.

Invite New User

1. From your account menu, go to Account Settings

2. Then, click Manage Users

Scroll to the bottom of this page to fill in the required fields under Invite New User.

3. Enter the user's email address and first and last name

4. Check the Add to all accounts that share this Org? box to invite the user to all accounts within the shared organization.

5. Click Invite User

The new user will receive an email invitation from [email protected], then click Sign In Here to set up their password.

Note: Please check the junk or spam folders if the new user doesn't see the email invitation in their main inbox.

If the user's email is hosted by Gmail or Outlook, they can set up their login using the Sign in with Google or Microsoft options.

Note: If the user chooses the Google or Microsoft option, their login credentials for GrowFlow will be the same as those they used for their Google or Microsoft account. If they need to reset their password in the future, they will need to do so through Google or Microsoft.

Grant Permissions

1. From your account menu, go to Account Settings

2. Then, click Manage Users

To give your new user the right access to GrowFlow, choose the permissions that match the areas of your account they need to use.

Wholesale Permissions

1. Admin: The user will have full access to the account with no restrictions, including Insights.

2. Grow: This gives access to:

  • Inventory and Grow Overviews

  • Plants and Additives

  • Admin: Manage strains, rooms, labels, templates, products, QA samples, and printer settings (but not Account Settings).

3. Sales: This gives access to:

  • Inventory Overview

  • Orders Overview

  • Vendors

  • Admin: Manage strains, vehicles, rooms, labels, templates, products, QA samples, and printer settings (but not Account Settings).

  • The Reports tab in Insights

Read-Only

The Read-Only permission allows Admins to grant users access to view and export data in GrowFlow without the ability to make any changes or perform actions in the account. This is ideal for sharing information with others, such as accountants or consultants, while ensuring data integrity.

The Read-Only permission must be combined with another permission level (Admin, Grow, or Sales) to define which areas of the platform the user can access.

1. Admin + Read-Only: The user can view all data within the Admin permission level but cannot modify any records.

2. Grow + Read-Only: The user can view all data within the Grow permission level but cannot modify any records.

3. Sales + Read-Only: The user can view all data within the Sales permission level but cannot modify any records.

Notes:

  • The Read-Only permission does not affect Insights permissions. If a Read-Only user needs access to Insights, the appropriate Insights permissions must also be enabled.

  • To avoid getting locked out of your account, Admin users can't give themselves Read-Only access. If you need Read-Only access, ask another Admin user or contact support for help.

Other User Management Tools

1. Disabled?: Checking this box disables the user's login, even if they have other permissions. Uncheck the box to re-enable their login.

2. Reset Password: Admin users can click this to send the user a password reset email.

Note: If the user chooses the Google or Microsoft option, their login credentials for GrowFlow will be the same as those they used for their Google or Microsoft account. If they need to reset their password in the future, they will need to do so through Google or Microsoft.

3. Delete: This permanently deletes the user from your account and removes all their access.

Insights Permissions

You can give users access to different parts of Insights by turning on these permissions:

1. Executive Summary: Access to the Insights > Summary tab.

2. Grow: Access to the Insights > Grow tab.

3. Sales: Access to the Sales & Customers tabs in Insights.

4. Inventory: Access to the Insights > Inventory tab.

Notes:

  • Admin Users: Admin users automatically have access to all Insights tabs and the Reports tab. They can choose to turn off specific tabs if they wish. If the Admin permission is removed, access to all Insights tabs is automatically removed.

  • Reports Tab: To see the Reports tab, a user needs either Admin or Sales permissions from the main Wholesale tab.
