Best Practices and naming conventions for setting up Products in GrowFlow Wholesale

A Little Backstory

A product encapsulates what something is in its most granular form, down to its size and strain. Once you have actual inventory packages (or UIDs) created in the system, that inventory must have a product assigned that tells GrowFlow and the traceability system what that inventory is.

Setting Up For Success

To optimize the product data for all the inventory management, reporting and sales orders workflows in GrowFlow, It helps to think ahead when setting up products. 

A product will be comprised of these key components. Depending on the state and type of information, some of these fields will be required:

  1. Brand

  2. Category

  3. Traceability Type

  4. Product Name

  5. Attributes

  6. Strain

  7. Size

  8. Unit of Measure (UOM)

  9. Sample?

Often times the Product setup will mirror what the menu grouping already is. So look for these key pieces to group similar products together. Things that have all these things in common may be a good indicator that they actually are the same product with multiple variations. Such as Brand, Category, or Traceability Type, and Price

Product Naming Conventions

GrowFlow generates a traceability Product Name based on the details you provide during the product creation to uniquely identify each product. Use the pointers below when defining and naming products to get the most out of GrowFlow.

1. Keep it consistent!

Create a schema for consistent naming conventions. If you select Brand for one product, select Brand for another. GrowFlow combines the following individual pieces of information (where provided) to create full-unique names.
[Brand] [Product Name] [Attributes] [Strain]  [Size/Weight][Sample]

Examples:

  1. [Brand] [Product Name] [Attributes] [Strain] [Size/Weight] [UOM] would read as: Clearwater Farms - Flower - Mylar Bags - Bluedream - 1g

  2. [Brand] [Product Name] [Attributes] [Size/Weight] [UOM] would read as:  Clearwater Farms - Flower - Jars  - 1g

  3. [Brand] [Product Name] [Attributes] [UOM] would display as:                                 Holy Smells - Shatter - Hyper - 0.5g

  • Note: Category/Traceability Type is not included in the Full Product Name generated by GrowFlow. Type, as in Traceability Type is required in a separate field by traceability systems, and Category is for organizing rather than naming.

2. What to use for [Product Name]

Once you omit the Brand, Attributes, and Size; all that really leaves you with is the Product Short Name. Always customize naming conventions to the operation’s needs and consider the following:

» Does the edible brand promote by potency (mg/edible), or strain type Indica, Sativa, hybrid? If this applies, it is recommended this is included as an Attribute.

» What are the size and labeling requirements in your state? Are they determined by potency (mg/edible), net weight (g/edible), or liquid oz? Depending on where you are, the naming convention should reflect serving sizes or additional information to identify what the product is for the retailer/consumer.

  • Note: Oftentimes in smaller operations, Product Short Name will be the exact same thing as a Category name.

3. Non-Cannabis Products

For accessories such as glass, papers, dugouts, and dab accessories; set up these products just like any other in GrowFlow. Non-Cannabis inventory will appear in the "Non-Cannabis" tab on the Inventory Overview page. Please note any non-cannabis product is not required to be tracked in the Traceability platform.

Service and delivery fees should be set up using the Asset (Each) type since they don't represent physical assets.

Both Non-Cannabis and Asset type products can be added to orders for invoicing purposes.
