Wholesale: Connect an AI Assistant to GrowFlow with MCP

How to connect Claude, Claude Code, ChatGPT, Codex, Cursor, or another MCP-compatible AI assistant to your GrowFlow Wholesale data with your own login

Written by Cassidy Austin

What This Connection Does

Connect the AI assistant you already use to GrowFlow Wholesale, and you can ask everyday operational questions without exporting a spreadsheet or running a report. For example, you can ask what's in stock, what's shipping this week, what's inbound, or what passed testing. Any assistant that supports MCP, the Model Context Protocol, works, including Claude, Claude Code, ChatGPT, Codex, and Cursor.

Any GrowFlow Wholesale user can connect their own account. You sign in with your normal GrowFlow login, so there's no API key, password, or secret to manage.

The connection is read-only. Your AI assistant can read your GrowFlow data to answer questions, but it can't change, delete, or create anything in GrowFlow. It only sees the licenses your login can access, and what it can pull follows your GrowFlow user permissions.

Note: When you ask a question, your AI assistant's provider receives the GrowFlow data used to answer it. That can include the sales, customer, and vendor details your role can see. Make sure the assistant you connect meets your organization's data policies.

Note: For help with setup, contact your organization's Org Admin first. If your organization doesn't have an Org Admin yet, contact GrowFlow Support to get one set up.

See Wholesale: Org Settings for more details on Org Admins and settings.

Before You Start

You'll need:

  • A GrowFlow Wholesale login with access to at least one license.

  • An AI assistant that supports MCP, such as Claude, Claude Code, ChatGPT, Codex, or Cursor. Some assistants only allow custom connectors on certain plans.

  • On a Claude Team or Enterprise plan: Your Claude organization Owner has to add the connector before you can connect.

  • For Claude Code, Codex, or Cursor: use the setup command from the in-app connection instructions. Only Org Admins can open those instructions. If you're not an Org Admin, reach out to an Org Admin for help.

Note: Every AI assistant asks for these two values during setup:

Open the In-App Connection Instructions

Org Admins can open step-by-step instructions inside GrowFlow. They include the setup commands and a ready-made prompt for agent tools.

1. Click your username in the top-right corner and select Org Settings.

2. Select the API Keys tab.

3. In the Using an AI assistant? box, click Connection instructions. The API Developer Guide opens to the Connect an AI assistant (MCP) section.

Note: Only Org Admins can see Org Settings. To share the instructions with teammates who aren't Org Admins, including the setup commands for Claude Code, Codex, and Cursor, click Print / Save as PDF and send them the file.

Quick Start for Agent Tools

For agent tools like Claude Code and Codex, the fastest option is the ready-made prompt. It already contains the MCP server URL, the OAuth Client ID, and the setup commands, so the agent sets itself up.

1. In the API Developer Guide window, click Show prompt if you want to read it first, then click Copy prompt.

2. Paste the prompt into your AI agent. The agent sets up the connection and opens the GrowFlow sign-in.

3. Sign in with your GrowFlow login and approve access. Then go to Confirm It's Connected.

Tip: If you can't open Org Settings, ask your Org Admin to copy the Quick Start prompt for you.

Connect Your AI Assistant

Follow the steps for the assistant you use. Each person signs in with their own GrowFlow login, so everyone sees only what their own role allows. You'll need the MCP server URL and OAuth Client ID from Before You Start.

Menu names in other companies' apps can change. If a menu below doesn't match what you see, search that app's help for adding a custom MCP connector.

Claude

1. Go to Customize > Connectors. In the desktop app, go to Settings > Connectors.

2. Click Add custom connector and paste the MCP server URL.

3. Open Advanced settings and paste the OAuth Client ID. Leave the client secret blank. If Claude asks how it should identify itself, choose Use your own OAuth client.

4. Click Add, then Connect. Sign in with your GrowFlow login and approve access.

Note: On Claude Team and Enterprise plans, an organization Owner adds the connector under Organization settings > Connectors. Members then click Connect.

Claude Code

1. In a terminal, run the setup command from the in-app connection instructions. [

2. Start Claude Code, run /mcp, select growflow-wholesale, and sign in with your GrowFlow login.

Codex

1. Run the two setup commands from the in-app connection instructions. The first adds the server. The second opens your browser to sign in. [PLACEHOLDER: the commands]

2. Sign in with your GrowFlow login and approve access.

Note: The Codex CLI and the Codex IDE extension both use this setup.

ChatGPT

1. Go to Settings > Connectors, or Settings > Apps & Connectors depending on your version. Open Advanced settings and turn on Developer mode.

2. In Connectors, click Create. Name it GrowFlow Wholesale and paste the MCP server URL.

3. Set Authentication to OAuth, expand Advanced, and paste the OAuth Client ID. Leave the client secret blank.

4. Check I trust this application and click Create. Sign in with your GrowFlow login and approve access.

5. In each new chat, turn the connector on from the + menu.

Cursor

1. Go to Cursor Settings > Tools & MCP and click New MCP Server.

2. Paste the entry from the in-app connection instructions.

3. Save, then click Login next to Growflow Wholesale and sign in with your GrowFlow login.

Other AI Assistants

Any assistant that supports MCP can connect:

  • Add a custom MCP server or connector and paste the MCP server URL.

  • Set authentication to OAuth, paste the OAuth Client ID, and leave the client secret blank.

  • Sign in with your GrowFlow login.

Confirm It's Connected

Start a new chat in your AI assistant and ask:

Am I connected to GrowFlow, and which licenses can I see?

Your assistant confirms the connection and lists the accounts and licenses your login can access. You're set up when it names your business and every license you expect. If a license is missing, see What Can Go Wrong below.

What You Can Ask

You don't need to know table names or write queries. Just describe what you want.

  • Inventory: Current stock by strain, product, or room. Items expiring soon, or what's sitting in a specific room.

  • Orders & Sales: Open orders and what's on each one, or orders scheduled to deliver this week. What you sold to a customer last month, total sales, and top customers. Revenue by month, customer, or order type.

  • Cultivation: How many plants are flowering and in which rooms. Harvests over a date range with weights, and plant batches close to harvest.

  • Lab & Compliance: Latest lab results for current inventory, and which products passed testing this month.

  • Transfers: Inbound transfers received over a date range, and which vendors sent them.

What Each Role Can See

Your GrowFlow role decides what your AI assistant can pull, with the same boundaries as the app. If you ask for something your role doesn't cover, your assistant tells you which role you need.

  • Any member of a license: inventory, products, strains, and lab results.

  • Grow access: plants, plant batches, harvests, and rooms.

  • Sales access: orders, sales revenue, vendors, and inbound transfers.

  • Admin access: all of the above.

Note: If someone is removed from a license, disabled, or has their role changed in GrowFlow, the change applies to their very next question. When a teammate leaves, removing them in GrowFlow also cuts off their AI assistant's access. There's no separate step.

See Wholesale: Manage Users for more information on user permissions.

What This Version Doesn't Do Yet

  • It can't make changes. Your AI assistant can't edit, delete, create, or place orders, and it can't push anything to Metrc, BioTrack, or CCRS. Keep doing those tasks in GrowFlow.

  • It doesn't generate documents such as manifests, labels, or invoices.

  • It doesn't manage pricing or price lists.

  • It doesn't export full reports or reproduce Insights dashboards. Keep using GrowFlow for those.

Good to Know

  • Check before you act. An AI answer is a fast starting point, not your record. Before you use a number for a compliance decision, such as whether a product passed testing before you transfer it, or to reconcile your books, confirm it in GrowFlow. Your state traceability system, whether Metrc, BioTrack, or CCRS, is still the system of record.

  • Revenue questions work best for date ranges up to about a year at a time. For longer spans, ask one period at a time.

  • Data can lag behind what you see in the GrowFlow web app by [PLACEHOLDER: typical delay].

  • Weights may be in grams, ounces, pounds, or each. If a number looks off, ask your assistant to confirm the unit.

  • If you ask for a lot of data at once, GrowFlow may ask your assistant to slow down. Ask for less at a time, or wait a moment and try again.

Monitor Usage as an Org Admin

Org Admins can monitor their organization's API and MCP usage from Org Settings > API Usage. The tab shows usage over the last 7, 30, or 90 days.

Note: Only Org Admins can see Org Settings and the API Usage tab.

What Can Go Wrong

You can't open Org Settings or the setup commands.

Only Org Admins can see Org Settings. You can still connect Claude, ChatGPT, or another assistant with the steps in this article. For Claude Code, Codex, or Cursor, ask your Org Admin to send you the in-app instructions using Print / Save as PDF. If your organization doesn't have an Org Admin, contact GrowFlow Support to get one set up.

The connection fails, or you can't add the connector.

  • Re-paste the MCP server URL and OAuth Client ID from Before You Start, and check that there are no extra spaces.

  • Leave the client secret blank.

  • In ChatGPT, confirm Developer mode is on.

  • On Claude Team or Enterprise, ask your Claude organization Owner to add the connector.

If it still fails, contact GrowFlow Support. Have the name of your AI assistant and the exact error message ready.

The sign-in window shows an error or keeps looping.

Sign in with the same email your GrowFlow Wholesale account uses. Then disconnect the connector in your AI assistant and connect again.

You're connected, but no data shows up or a license is missing.

Your login may not be a member of that license yet, or your role doesn't cover what you asked about. Check What Each Role Can See above, then ask your Org Admin to confirm your access.

The answer doesn't match what GrowFlow shows.

Ask your assistant to name the license, date range, and unit it used. Then compare with GrowFlow. If the numbers still don't match after that, contact GrowFlow Support. Have the question you asked, the answer you got, and the license ready.

Your assistant says it was asked to slow down, or that there are too many requests.

You're pulling a lot of data at once. Ask for less at a time, such as one license or one month, or wait a moment and try again.

Note: Still stuck? Contact your Org Admin first. If they can't resolve it, or your organization doesn't have an Org Admin, contact GrowFlow Support. Have your business name, the license you're trying to access, and the AI assistant you're using ready.
