New Mexico is retiring BioTrack and moving cannabis licensees to the state's new track-and-trace system, NMS2S. While this change is underway, your GrowFlow account keeps working so you never lose sight of your data. This article explains what is changing, what GrowFlow Standalone mode is, and how to use two tools, the Inventory Snapshot and the Event Log, to keep an accurate record you can rely on when you reconcile your data in NMS2S.
What Is Happening in New Mexico
On the evening of August 25, after the 5:00 PM Mountain Time deadline, the state recorded your inventory and data as your starting point for NMS2S. Your BioTrack connection is still active for now, but anything entered in BioTrack after the 5:00 PM deadline will not carry over into your starting inventory and data in NMS2S.
For now, you can continue working in your GrowFlow account without interruption. In the coming days, GrowFlow will move your account into Standalone mode, which turns off your BioTrack connection entirely.
Around August 31, the state expects to have your inventory loaded into NMS2S. Your ending inventory in BioTrack as of August 25 becomes your beginning inventory in NMS2S.
Once you are active in NMS2S, the state requires you to review your inventory and account for every change you made while BioTrack was off.
Note: The New Mexico Regulation and Licensing Division sets the exact dates and timing. Always follow the state's official bulletins for current timing and requirements.
What Is GrowFlow Standalone Mode
Standalone mode means your GrowFlow account is not connected to a state track-and-trace system. Everything you do is still recorded inside GrowFlow, but nothing is sent to or pulled from the state while your account is in this mode.
Here is what will change once your account moves into Standalone mode:
GrowFlow will no longer send your actions to the state, so you will no longer see BioTrack sync messages or sync errors.
You can continue your normal day-to-day work such as creating and moving plants, harvesting, packaging, adjusting, converting, recording waste, and building transfers, without waiting on the state.
Any new plant or package tags will be generated by GrowFlow rather than by the state.
Your data will stay in GrowFlow and will not be shared with NMS2S, because the state has not yet provided a way for GrowFlow to connect to NMS2S.
How GrowFlow Helps You Until You Are in NMS2S
Your ending inventory in BioTrack as of August 25 is the same inventory the state will use to start you in NMS2S. Until you are active in NMS2S, you can keep running your business in GrowFlow, and as you work, GrowFlow records every change in the Event and Change Logs.
When NMS2S is ready around August 31, and the state asks you to reconcile your inventory by hand, you can come back to GrowFlow to see your accurate plant and inventory counts and every change made during the transition.
Two tools make this straightforward:
The Inventory Snapshot gives you your counts as of the end of any past day, so you can capture exactly what you were holding on the transition day (8/25).
The Event Log gives you a complete, time-stamped list of everything that happens in your account during the transition, which you can export to help you reconcile in NMS2S.
Tip: As long as you have kept your plants and inventory data in GrowFlow current during the blackout period, you can also use your Grow Overview, Plant Overview, and Inventory Overview to check your live counts while auditing your data in NMS2S.
What to Document During the Transition
While NMS2S is still being established, the state recommends keeping a detailed record of the activity you perform so you can enter or reconcile it in NMS2S later. Your GrowFlow account captures this for you, but it helps to know the kinds of information to have on hand.
Cultivators—Keep a record of
Planting: the plant or clone ID, the source or mother plant ID, the strain, the birth or plant date, and the quantity planted.
Plant stage changes: the plant ID, the strain, and the stage the plant moved from and to, with the date.
Harvest: the plant ID, the strain, the harvest date, the wet weight in grams, the waste weight in grams, the expected dry flower yield, and any NMDA-registered pesticides used.
Cure and dry: the final cure date, the wet flower weight, the dry flower weight, the waste weight, and any trim or seed yield.
Destruction: the plant or item ID, the scheduled and actual destruction dates, and the category and reason for destruction.
Processors—Keep a record of
Each production or conversion action: the date and time, the item ID, the product name and strain, the origin item IDs, and the product type before and after the action.
Weights and ingredients: the total cannabis material, the amount deducted from the original item, any non-cannabis ingredients by name and weight or volume, and the new total weight or volume created.
Packaging: the number of packages created, the weight per package, and the resulting product type.
Extraction: the material used, the waste weight generated, the concentrate weight yielded, and the expected yield.
Adjustments: the current and new weight, the adjustment type, and the reason for the adjustment.
Destruction: the item ID, the destruction date and time, and the category and reason for destruction.

You do not need to recreate these records by hand — your GrowFlow account captures most of this information for you. The state has provided templates you can use, but they do not require any specific form. You may rely on your GrowFlow data, your own spreadsheet, or any method that captures the information needed to accurately enter or reconcile your activity in NMS2S.

Using the Inventory Snapshot
The Inventory Snapshot lets you download what your account had on hand at the end of any past day. It is the fastest way to capture your transition-day counts and keep a clean point of reference.
Tip: Download an Inventory Snapshot dated August 25 to capture your ending counts the day BioTrack was shut off. This is a helpful reference to compare against what the state loads into NMS2S.
1. Log in to the GrowFlow account you want to pull data from
2. Go to the Inventory Snapshot page at go.growflow.com/nm/SnapshotReport
3. Under Snapshot date, select 08/25/2026
Note: You can select any past day up through yesterday, and counts reflect the end of that day in Mountain Time.
4. Click the download for the records you need:
Inventory CSV shows everything on hand with barcodes, product, category, quantity, and weight.
Plants CSV shows your living plants.
Open Harvests (Drying) CSV shows harvested material that is drying.
Waste On Hand CSV shows waste that is logged but not yet destroyed.
5. Open the downloaded file in Excel or Google Sheets to review or print it.
Which downloads apply to you:
Cultivators can use all four downloads.
Processors will mainly use the Inventory CSV and the Waste On Hand CSV.
Note: Snapshot counts are rebuilt from GrowFlow's records about once an hour, so a change made in the final hour of a day may appear on the next day's snapshot instead.
Using the Event Log
The Event Log is a running, time-stamped record of the actions taken in your GrowFlow account. While you're in Standalone mode, it is your system of record, and we have expanded it so it now captures the full detail you may need to re-enter your activity into NMS2S.
The Event Log now captures:
Plant activity such as creating, moving, harvesting, curing, packaging, and destroying plants, including weights and reasons.
Inventory activity such as splits, conversions, moves, adjustments, and waste, including quantities and units of measure.
Incoming and outgoing transfers, including the packages, products, quantities, units, and the other license involved.
Lab and QA sample results, including pass or fail and the key result numbers.
Undo actions, including the exact amounts that were reversed, so the same activity is not counted twice.
Product, strain, employee, and vehicle changes.
We also made two improvements for the transition:
Entry details now show product, strain, room, and vendor names instead of only ID numbers, so each entry is easy to read.
You can export a date range of the Event Log to a CSV file to use as your reconciliation worksheet.
1. Go to Admin > Event Log
2. Use the date range and search filters at the top to find the activity you want to review. The table shows each action, whether it was successful, and when it happened.
Tip: When you begin your NMS2S reconciliation, export the Event Log for the full transition period, from August 25 through the day you go live in NMS2S. That gives you a single checklist of every change to account for.
3. Click the Show Details button in the Details column to see the full details of an entry, including quantities, units, weights, reasons, and rooms.
4. Click Export to download the entries for your selected date range as a CSV file.
5. Open the file in Excel or Google Sheets to sort, print, or work through each entry as you enter it into NMS2S.

Once You Are in NMS2S
Once the state has you active in NMS2S, your GrowFlow Wholesale account remains in Standalone mode and all compliant actions must be taken in NMS2S. This includes your current plant and inventory IDs, plant phases, harvests, packaging, adjustments, conversions, and transfers.
Because the state has not yet provided a Wholesale API, GrowFlow and NMS2S cannot share data in either direction. Any work you do in NMS2S will not appear in GrowFlow, and any work you do in GrowFlow will not be sent to NMS2S until an integration is available.
