This article explains how to use the Pending Orders tab in your GrowFlow Point of Sale (POS) system. This tab helps you efficiently manage orders that are on hold, waiting for pickup, or have been recently fulfilled.
(Note: This tab was previously called "Held Orders".)
Accessing the Pending Orders Tab
You can find the Pending Orders tab in your main POS navigation menu.
Alert Badge: You might notice a yellow alert badge directly on the tab name. This badge appears as a heads-up whenever there is at least one order within the tab that has been marked as Held or Pending for more than 12 hours and might require your attention.
What You'll See Inside
Once you click into the Pending Orders tab, you'll see a list of relevant orders. This tab now includes orders with the following statuses:
Held: Orders placed on hold, reserving inventory.
Pending: Orders ready for pickup or final processing.
Fulfilled: Orders that have been recently completed and paid for.
A dedicated "Status" column clearly shows the current status for each order listed.
Filtering Orders by Status
Need to find specific types of orders quickly? Use the filter buttons located at the top of the order list:
Click [Held] to see only Held orders.
Click [Pending] to see only Pending orders.
Click [Fulfilled] to see only recently fulfilled orders.
Click the active filter button again (or an "All" button, if available) to clear the filter and see all orders listed in the tab.
Understanding Order Alerts
To help you manage inventory effectively, the system flags orders that have been waiting for a long time:
What triggers an alert? An order will be flagged if its status is Held or Pending AND it was created or placed in that status more than 12 hours ago. (Fulfilled orders do not trigger alerts).
How are alerts shown? You'll see a warning icon or message in the "Alerts" column next to the specific order that needs attention.
[Suggestion: Insert screenshot focusing on the Alerts column showing an order with the warning icon]
What should I do? If you see an alert, review the order. Decide whether to proceed with the order or if it needs to be canceled to return the reserved items back to sellable inventory.
Workflow Update: Using "Force Hold"
When you use the "Force Hold" action on an order during checkout, the system will now automatically take you directly to the Pending Orders tab. This makes it easy to see the order you just placed on hold right away.
Why Use the Pending Orders Tab?
Efficiency: Manage Held, Pending, and recent Fulfilled orders all in one place.
Clarity: Easily see the status of each order.
Speed: Quickly filter to find exactly what you need.
Inventory Control: Stay informed about older Held/Pending orders with the alert system to keep your inventory accurate.
