Managing Your User-Specific METRC/BioTrack Credentials

What are User-Specific Credentials?

This feature allows you, as a user with appropriate permissions (like a Super Admin), to set your own unique METRC or BioTrack credentials within our system. This means that when our system interacts with METRC or BioTrack, it will prioritize using your credentials first. If you haven't set your own credentials, the system will automatically use the store's credentials.

Why Use User-Specific Credentials?

  • Greater Control: If you manage multiple store locations, this allows you to have more direct control over your API interactions.

  • Enhanced Security: Using your own credentials adds an extra layer of security and helps track activity.

  • Flexibility: You can easily switch between using your credentials and the store's credentials.

How to Set Your Credentials:

1. Access the Credentials Management Section:

  • Log in to your account.

  • Click your initials at the top left of the screen.

  • Navigate to the "Manage METRC Credentials" or "Manage BioTrack API Key" section.

2. Enter Your Credentials:

  • Carefully enter your METRC or BioTrack username and password (or API key, depending on the system).

  • Double check for typos.

3. Test Your Credentials:

  • Click the "Test" button.

  • The system will check if your credentials are valid and working for all the stores you have access to.

    • Important Note: During the initial rollout of this feature, you might be able to save your credentials even if some store tests fail. However, in future updates, all tests will need to pass before you can save.

4. Save Your Credentials:

  • If the test is successful, click "Update" or "Save" to save your credentials.

  • The system will confirm your credentials have been saved.

Updating Your Credentials:

  • If you need to change your credentials, simply repeat the steps above. Your old credentials will be replaced with the new ones.

Removing Your Credentials (Using Store Credentials):

  • If you want the system to use the store's credentials instead of your own, follow these steps:

    • Go back to the "Manage METRC Credentials" or "Manage BioTrack API Key" section.

    • Click the "Unset" button.

    • Confirm your action. Your credentials will be removed.

Important Notes:

  • API Key Information (BioTrack): When working with BioTrack API keys, you'll see more detailed information during the test process. Future updates will require your API key to have positive sales for all stores before saving.

  • Error Messages:

    • If you see an "Unauthorized" error, it means your credentials are incorrect. Double-check them and try again.

    • There is a known issue where unsetting and immediately resetting credentials in the same session can cause issues. If this occurs, log out and log back in.

  • Register Functionality: In a future update, if you have user-specific credentials set, the system will verify that you have the necessary permissions to access sales data before you can open a register.
