In this article, we take a look at the workflow for packages that were manually added via transfer in GrowFlow, but also exist in Metrc but have not yet been received.

This article describes the steps to take if ALL of the following criteria are true:

  • The transfer exists in Metrc and has NOT been accepted.

  • The transfer has been manually entered into GrowFlow, and you have inventory on hand for the packages.

  • Your GrowFlow account is connected to the Metrc API.

PLEASE NOTE: If any of the above statements are false, please reference the appropriate help article for instructions. This article is relevant to Scenario 3 as outlined in the Oklahoma Metrc Activation Instructions.


In Metrc

Consult the Metrc documentation for additional details on how to manage transfer manifests in Metrc. To accept a transfer:

  • Login to Metrc.

  • Navigate to the Transfer area on the Navigation toolbar at the top of the page.

  • Select the Incoming Transfers tab.

  • A list of incoming transfer manifests will be displayed. Click the Receive button to begin the process of accepting the transfer.

  • Complete the review of the transfer per the Metrc documentation and when ready, select Receive Transfer.


In GrowFlow

  • Navigate to Inventory.

  • Click Transfers.

  • Click Sync in the top-right corner of the page to sync all active transfers from Metrc.

  • Once the sync is completed, click on the transfer you are accepting to view its active packages in the details pane on the right side of the page.

  • Click Details in the top-right corner of the screen.

  • On the Details page, you will assign packages to products in GrowFlow. Assign a SKU, assign the appropriate product (based on which product the tag is associated with on the Metrc transfer), confirm the quantity of the package, and enter the cost per gram/item.

7. Once this information is filled in for each package on the transfer, click Save and Activate at the bottom of the page.

PLEASE NOTE: Once a transfer has been accepted, and activated in GrowFlow it cannot be modified. Ensure all information is correct before clicking “Save and Activate.”


Post acceptance

Once the transfer has been received in Metrc, and has been synced into GrowFlow and accepted, you will need to do some reconciliation on the packages from the transfer.

Since the package already existed in GrowFlow without a Metrc tag, a second package will be created in GrowFlow upon accepting the transfer. This new package is a duplicate of the original package but is tagged and synced with Metrc.

On the old package

  • Locate the package in your Packages list

  • Click the gear icon and select Adjust Package

  • Adjust the package to zero quantity.

    • Use the reason code "Beginning Inventory Reconciliation".

    • Leave a note explaining the reason for zeroing out the package.

    • Leave the toggle for Report Adjust to State Traceability System OFF.

  • Click Save & Close.

This will zero out the old package in GrowFlow, and will not affect the quantity of the package in Metrc.

On the new package

  • Locate the package in your Packages list.

  • Click the gear icon and select Adjust Package.

  • Adjust the package to the quantity you have on hand for the package.

    • Use the reason code "Beginning Inventory Reconciliation".

    • Leave a note explaining the reason for zeroing out the package.

    • Flip the toggle for Report Adjust to State Traceability System ON.

This adjustment will be reported to Metrc and will ensure that the package quantity in GrowFlow and Metrc are the same.

Finishing up

Now that the untagged package has been zeroed out, and the new package has been adjusted so that GrowFlowe and Metrc match, you will either need to:

  • Print new package labels with the new SKU of the new package you imported and re-sticker the physical products.

OR

  • Edit the SKU of the old/zeroed-out package to change it to something else, then edit the SKU of the new package to change it to the original SKU. This will make it so you don't have to re-sticker your products.
