Creating a printable manifest for an outgoing transfer

Certain states require a physical manifest document to accompany the shipment of marijuana products. When retailers return products or ship products to other stores, a manifest must be created and printed. A shipment can include one or more stops, which must be reflected on the manifest.

When creating an outbound transfer in GrowFlow, a manifest can be created and printed with the appropriate documentation that is required to accompany the transfer. This feature supports both single and multi-stop transfers.

PLEASE NOTE: This feature is NOT used in states that use the Metrc traceability system. Transfers must be created directly in Metrc.

Creating Vehicles, Delivery Drivers, and Transporters (Suppliers)

There are three transportation options for transfers: Delivery, Pickup, and Transporter. For the Delivery and Transporter options, it is advised to add vehicles, delivery drivers, and transporters (as suppliers) to your account prior to starting a transfer. However, they can also be added during the transfer creation process.

Creating Vehicles

You can save vehicles in your account and assign them to a delivery driver or transporter. To add a new vehicle:

1. Go to Settings.

2. Select Vehicles in the menu bar.

3. Click the green “+” sign in the top-right corner of the screen to add a new vehicle.

From there, fill out the vehicle information:

  • Name of vehicle

  • Make

  • Model

  • Vehicle license plate number

  • VIN (optional)

Click Save & Close once you are finished to save the vehicle in your account.

Creating Delivery Drivers

Delivery drivers are saved in your account as users. You can either create a new user profile or edit an existing user profile to mark them as a delivery driver. To do this:

1. Go to Settings.

2. Select Users in the menu bar.

3. If you’re creating a new user, click the green “+” sign in the top-right corner of the screen. If you are editing an existing user, select their name in the list and click the Edit button (the pencil) in the top-right corner of the screen.

4. Enable the Is Delivery Driver toggle.

5. Enter the driver’s license number.

6. Select a default vehicle from the list of Vehicles or add one.

Once you are done, scroll to the bottom of the screen and click Save & Close.

Creating Transporters (Suppliers)

You can save a transporter’s information as a delivery service in your account to quickly assign them to outbound transfers. You can create a transporter the same way you create a new supplier in your account. To create a new transporter:

1. Go to Inventory.

2. Select Suppliers in the menu bar.

3. Click the green “+” sign in the top-right corner of the screen to add a new supplier.

4. Select Delivery Service in the Type drop-down menu.

You can also select a default Vehicle and enter in a name, driver’s license number, and phone number to set up a default driver for the Transporter. This is optional.

Once you’ve filled out the rest of the applicable information, scroll to the bottom of the screen and click Save & Close.


Creating A Single-Stop Outbound Transfer

To create a single-stop outbound transfer:

1. Go to Inventory.

2. Select Transfers in the menu bar.

3. Click the green “+” sign in the top-right corner of the screen to add a new transfer.

4. In the Add New Transfer window, select Outgoing.

5. For a single-stop transfer, leave the toggle for Multi-Stop Transfer off. The instructions for multi-stop transfers can be found below.

6. To generate a manifest, specifically when the transfer includes marijuana products, turn on the Transfer Contains MJ toggle.

  • This feature can also be used if you want to create a manifest when transferring non-marijuana products, just leave the Transfer Contains MJ toggle off.

7. Select the Supplier the transfer is going to.

8. Select the Outgoing Package(s). The product name or SKU can be typed in this field and matching packages will be displayed.

9. Enter the estimated departure and arrival dates.

10. To include driving directions, click Get Driving Directions. The directions are automatically populated using Google Maps data.

  • While driving directions can be automatically populated by the system, you are responsible for their accuracy. The directions should be manually reviewed and edited if necessary.

11. Select the Manifest Type. There are three options:

  • Delivery

    • To be used when you (the retailer) will deliver the package.

    • If selected, enter the appropriate information about the delivery driver.

    • The driver must be a user in your retail store with the “Is Delivery Driver” option turned on in their profile.

  • Pick-Up

    • To be used when the recipient will pick up the package.

    • If selected, enter the information about who will be picking up the package.

  • Transporter

    • To be used when a third-party delivery service will be used to deliver the package.

    • For Select Supplier Driver, select from the list of Suppliers or add a new one. If picking an existing one, most of the data will be auto-populated.


Creating A Multi-Stop Outgoing Transfer

The steps for creating a multi-stop outgoing transfer and manifest are similar to the steps for creating a single-stop transfer. To create a multi-stop outbound transfer:

1. Go to Inventory.

2. Select Transfers in the menu bar.

3. Click the green “+” sign in the top-right corner of the screen to add a new transfer.

4. In the Add New Transfer window, select Outgoing.

5. Flip on the toggle for Multi-Stop Transfer.

6. To generate a manifest, specifically when the transfer includes marijuana products, turn on the Transfer Contains MJ toggle.

  • This feature can also be used if you want to create a manifest when transferring non-marijuana products, just leave the Transfer Contains MJ toggle off.

7. Fill out the information for Stop #1.

8. Once you’ve filled out the information for Stop #1, click the Add Another Stop button and fill out all of the required information for the additional stop. Repeat this for each additional stop.

To re-order the stops, you can click the up or down arrow to the right of the name of the stop. PLEASE NOTE: If the stops are reordered, you will need to click the Get Driving Directions button for each stop again to regenerate the directions.

Once all of the stops have been added, select the Manifest Type (see step 11 above) and click Save & Continue. Skip ahead to the Printing the Manifest and Completing the Transfer section for the next steps.


Printing the Manifest and Completing the Transfer

Once you've created a transfer and saved it, the transfer will be moved to the Pending status. In the Pending status, the transfer is still editable. You can also print a manifest when the transfer is Pending.

To print the manifest, click the Manifest button in the top-right corner of the transfer details page. The manifest will be displayed in a new window and can be printed by clicking the Print button in the top-right corner of the screen.

Once the transfer is ready to go out the door, click the Mark In Transit button on the transfer details screen.

PLEASE NOTE: You can not edit the information on the transfer after moving it to the In Transit status. Please double check your transfer details are correct before clicking the Mark In Transit button.

In your Transfers list, the status of the transfer will be listed as In Transit. The packages associated with the transfer will be moved to the On Hold status.

If necessary, the entire transfer can be canceled by clicking the red “X” in the top-right corner of the screen.

When you have confirmation that the transfer has been successfully delivered and is complete, open up the transfer details again and click the Complete Transfer button. You will be prompted to accept the transfer — click the Yes, Activate button to confirm.

PLEASE NOTE: No further changes can be made once the transfer is accepted/activated.
