You can create Employee Samples in GrowFlow from the Inventory screen!
A) Click the blue “Other” button, followed by clicking “Employee Samples” in the drop-down.
B) Once you have accessed the Employee Sample window, you can use the search field for the inventory you will be using or use the Filter by Type/Strain/Room drop-down.
C) When you have located the inventory you will be using for your employee samples:
Input the quantity of the sample into the “Qty” field on the inventory’s line item.
Click the blue “Select Employees” button.
Select the employee the sample is intended for.
You can select multiple employees on each line item. In this example, the inputted quantity of “1” will designate a 1g sample for each employee selected.
Keep track of how many samples are being created.
Click the “Preview Employee Samples” button.
D) This will take you to the preview window where you can confirm the details of the Employee Samples you are creating.
Confirm the quantity for each Employee Sample.
Confirm the employees selected are correct.
Confirm the total record of new samples you intend to create is correct.
You can click the yellow “Back” button to correct mistakes if any were made.
You can review the WAC rules regarding Employee Samples by clicking the blue “View Rules” button.
Finish by clicking the “Create Employee Samples” button.
That’s it! Your new employee samples will appear on the “Historical Samples” tab. To preview past employee samples you can use the Filter by Date feature. Enjoy!
NOTE: At this time, the LEAF system does not allow any editing or deleting of Employee Samples. Visit our Edit and Delete Employee Samples Help Article if any samples were created by mistake.
As of 01/11/2021, here are the WAC rules for employee samples, aka “Internal Quality Control” samples per subsection (4) of WAC 314-55-096, Vendor, educational, and internal quality control samples:
(4) Internal quality control sampling: Producers and processors may conduct limited self-sampling for quality control. All sample limits are based on calendar months. Consuming samples for quality control may not take place at a licensed premises. Only the producer, processor, or employees of the licensee may sample the marijuana flower, useable marijuana, marijuana-infused products, marijuana concentrates, and edible marijuana-infused product. The producer or processor must record the amount of each sample and the employee(s) conducting the sampling in the traceability system.
(a) Producers may sample two grams of marijuana flower per strain, per month for quality sampling.
(b) Processors may sample one unit per batch of a new marijuana-infused product meant to be ingested orally or otherwise taken into the body to be offered for sale on the market.
(c) Processors may sample up to one unit per batch of a new marijuana-infused extract for inhalation to be offered for sale on the market. No single sample may exceed 0.5 g.
(d) Processors may sample one unit per batch of a new marijuana mix packaged to be offered for sale on the market. No single sample may exceed 1 g.
(e) Processors may sample one unit per batch of a new infused marijuana mix to be offered for sale on the market. No sample may exceed 0.5 g.
(f) Processors may sample one unit per batch of a new marijuana-infused product for topical application to be offered for sale on the market. No sample may exceed sixteen ounces.
