This article is about downloading your inventory, which is similar to downloading your list of plants. We recommend that you download both your inventory and your plant list at each month end so you have it available. GrowFlow is not able to recreate a view of your inventory for a past date, so doing periodic downloads is super valuable!

Step A

If you just want to download your ‘In Stock’ inventory, be sure your "View" field is set to ‘In Stock’ (which is the default view when you go to the Inventory Overview), and skip to Step B.

  1. On the other hand, you might be doing a physical audit or year end inventory for taxes. In that case you need to know everything that is on your premises including items committed to an order but not yet in transit. In this case, you will also want to separately export all items listed in the "View" called ‘On Order’. To do that, after you finish downloading the ‘In Stock’ items, follow all the same steps in this article, but select the ‘On Order’ view first.

  2. There’s one other option for seeing everything on your premises. That is to select the "View" of ‘All’ and do just one download; however, your download will also include any Waste items that LeafData still shows in your account. Not a problem, but you’ll want to sort your downloaded items by the traceability Type and then delete all the Waste items from your downloaded file. Waste items are not on your premises.

Step B

Decide what columns of the items’ information you want to download. There is a list of data fields that you can choose to have displayed on the screen and thereby also bring into the downloaded file (e.g., Harvest Date, Modified Date, Category, Parent ID, etc.). Use the down arrow to the right of the Move button to see which fields you can choose. Click every box for the information you want, then click on the Apply button at the bottom of the list of boxes. Step C

If you want to download all items in the inventory View you’ve chosen, skip to Step D. If you want to download only certain items, you can first use the filters on the Inventory screen, and then export the data.

  1. For example, to export only a list of end retail products, you can use the “Filter by Type” field and select “Extract” and “Usable Marijuana”, as shown below.

Step D

Once you have set your Inventory list to the items you want to export, then click the Export button located on the right side above the list of items.

Step E

Your export will download as a csv file and the file will appear at the bottom of your screen. Right click on that file, or on the up arrow, to open it.

If you already have a default spreadsheet program in your computer settings, you can click "Open" and it will open in that program. When the csv file is opened, use the Save As feature in the program to save it to your computer in whatever file format you choose.

  1. You might need to designate which program you will use by selecting the "Open with" option. You can then open the file in Excel, Google Sheets, or Open Source, etc. and then use the Save As function.

Now you will have all the functionality available in your preferred spreadsheet program to sort and filter as much as you want, and use formulas to calculate totals and subtotals. To see more information about using formulas to create subtotals, add columns, or use formulas that calculate (e.g., unit price x grams), please do an internet search for that action in that program.
